Data Cleansing Cadence: Why “Set and Forget” Is Costing You More Than You Think

By |2026-01-21T13:45:32+00:00January 21st, 2026|

I joined a great webinar today hosted by Paragon and the DMA, where one of the topics covered by Hannah Stapleford really stood out to me: Data Hygiene Cadence. I have to admit, I initially had to look up the word cadence. In simple terms, it means a regular and repeated pattern of activity. Once I had done that, it struck me just how perfectly the term describes where brands need to be when it comes to managing data quality within their customer data environments. Hannah was absolutely spot on, and she shared a couple of statistics that make this topic impossible to ignore: Around 10 percent of the UK population moves home each year Around 1 percent of the [...]

Why Processing Customer Data Against Change of Address Files is Crucial for Business Success

By |2026-01-14T12:45:08+00:00January 14th, 2026|

Every year, UK businesses waste £1 billion on mistargeted mailings: sending communications to people who have moved or even passed away. Beyond the financial cost, this erodes brand reputation and risks GDPR non-compliance. With 3.5 million households moving annually and 548,000 deaths each year, customer data decays at an alarming rate. This is why processing your data against Change of Address (COA) datasets is not just best practice; it is essential. What Are COA Data Sets? Change of Address files, such as Royal Mail’s National Change of Address (NCOA) and Experian’s Absolute Contacts, identify when a person has moved and provide their new address. These datasets allow businesses to: Suppress goneaways (people who have moved and not informed you). Update [...]

By |2025-12-17T12:17:43+00:00December 19th, 2025|

Introduction Accurate data is the foundation of effective communication. For organisations that rely on postal addresses, even small errors can lead to wasted mailings, lost customers, and unnecessary costs. At The Software Bureau, we take this challenge seriously. That’s why, 12 months ago, we introduced our Continuous Improvement Programme (CIP), a unique initiative designed to ensure our cloud-based Postal Address verification and enhancement engine is always learning and improving. What is CIP? CIP is not just a process, it’s a philosophy. It represents our commitment to delivering the most accurate and efficient address verification solutions on the market. Every time our system encounters a record flagged as poor quality, that record is anonymised and collated for review. This approach allows [...]

The High Cost of Rubbish Direct Mail Data

By |2025-08-28T08:21:02+00:00August 28th, 2025|

I hate to keep banging on about this, but it still confuses me why brands using direct mail continue to post using poor-quality data. We’ve all received it—the catalogue for the previous resident, the duplicate mailer that shows up a week apart, the promotional offer for someone who passed away years ago. It's more than just annoying; it's a massive waste of resources. Sending mail to bad addresses, deceased individuals, or people who no longer live at that location is like throwing money into a bonfire. It drives up costs, reduces your return on investment (ROI), and damages your brand's reputation. Let's break down the most common mistakes and why they're so costly. Duplicates and Undeliverable Addresses One of the [...]

Is the Public Sector Ready for the Government’s Turbocharged AI Strategy?

By |2025-01-20T15:45:25+00:00January 20th, 2025|

The UK government has unveiled an ambitious plan to harness artificial intelligence (AI) as a catalyst for national renewal, aiming to revolutionise public services and boost economic growth. However, a critical component of the success of this initiative will be the emphasis placed on data quality and hygiene, which serve as the foundation for effective AI implementation. The Importance of Data Quality and Hygiene in AI High-quality, well-maintained data is essential for training AI models to ensure accurate, reliable, and unbiased outcomes. Data hygiene, which involves the ongoing process of cleaning, verifying, and maintaining data integrity, is equally vital. As Edwina Dunn recently highlighted in an article for Decision Marketing, many organisations fail at AI due to "shoddy data", a [...]

We achieve ISO27001 recertification

By |2023-03-02T07:33:07+00:00March 2nd, 2023|

We are delighted to have once again been recertified for ISO27001, which we first achieved in 2019. ISO27001 is the international standard prescribing best practice for an Information Security Management System (ISMS). It provides a framework for establishing, implementing, operating, monitoring and improving information management using a six-part process model. According to the latest ISO Survey less than one per cent of UK businesses (2,818 organisations) currently hold the award due to the complexity involved in adhering to the controls outlined by the Standard. The accreditation builds a culture of security protecting valuable data and information assets. Comments Martin Rides, Managing Director, The Software Bureau: "This is a great achievement, particularly since we are one of only a few organisations in the [...]

Consent, control and security key priorities for data in 2022

By |2022-06-28T10:53:32+00:00June 28th, 2022|

We recently undertook a review of the GDPR enforcements by the ICO over the past 12 months, which revealed that lack of consent, failure to comply with control responsibilities and data security are the three most common infringements since July 2021. Sixty-one per cent of the 28 enforcements were found to be in breach of Article 4.11 which states: ‘consent’ of the data subject means any freely given, specific, informed and unambiguous indication of the data subject’s wishes by which he or she, by a statement or by a clear affirmative action, signifies agreement to the processing of personal data relating to him or her.  Article 4.7 and 5.1f were both breached by 14 per cent of the organisations who [...]
