The company

DPS Direct is a data bureau. In plain terms, clients hand over their raw data and John and Sam turn it into something clean, accurate and ready to power a campaign. What makes DPS unusual is how much they take on with so few people, and how much they clearly care about getting it right. John and Sam have spent their working lives in data and started DPS to do it their own way, to their own standards.

Building a bureau from scratch

Starting a data bureau from scratch is a bold thing to attempt right now. The skill is getting rarer, not more common, and most outfits only do a slice of the job: one service just does cleaning, another only does processing with the tricky parts sent off elsewhere. John and Sam wanted the opposite. They set out to offer the whole thing, done properly and in-house, without ever shipping a client’s data out of the building to fill a gap. For a team of two, that only works if a single tool can do everything with one piece of software.

Cygnus as the heartbeat

That software is Cygnus. It was the first thing they set up when they founded DPS, and it runs through everything the bureau does. He has used it for more than twenty years and still talks about it the way a craftsman talks about a favourite tool. John calls Cygnus his blank canvas that lets him do whatever a job throws at him “a complete data processing department in a box,” and that is the whole idea. Processing, personalisation, quality checking and advice, all in one place, run by two people, with nothing farmed out.

Where the care goes in

John treats every file like a story. “You know how it starts, you know how it ends, and you’ve got to create the story in the middle.” A job begins with a proper health check: finding duplicates, people who have moved, people who have sadly passed away, and addresses that will never arrive. The analysis is free, and because DPS is not tied to any one supplier, John simply matches each client to the cheapest option.

He also catches things nobody asked him to look for. On one job for a big, well-known brand, he found genuine obscenities buried in the data and quietly stripped them out before they could land on someone’s doormat, or worse, in the papers. As he puts it, you are representing a business by the quality of the data you send out on its behalf.

Then the real craft starts: splitting data into segments, if it’s a charity it might mean building personalised ask amounts from someone’s giving history, generating raffle numbers a million at a time with no room for error and writing the logic that turns messy name fields into a greeting that actually reads properly. Cygnus is what makes all of this possible, and it is where John’s fussiness earns its keep. The step he is proudest of is his proofing script, which surfaces every version of a mailing so a client can check the entire job in about thirty records rather than trusting the first few. “If that’s good,” he says, “your 200,000 is probably going to be good too.”

The hero job: everything, in a day

A job John had priced as a single day’s work landed on the morning it was due to proof, and then it grew.

Fresh instructions brought sixty variable paragraphs, three donation ask amounts driven by monetary-range lookups, and donor segments matched from a table of more than a hundred permutations. All of it had to be split across four randomised cells and personalised right down to the greeting, including around two hundred broken salutations he rebuilt so that nobody opened a letter reading “Dear Mr S”.

He built the whole thing in Cygnus inside a day. The moment that would have sunk most teams came during approval, when the client realised their own lookup tables held errors. Because every step in Cygnus is a visible, editable flow, John simply dropped the corrected tables back in and refreshed the job. A few mouse clicks, where other software would have meant redoing hours of work with no record of what had already been done. For the client’s proof, he used Cygnus to show every possible version of the mailing, thousands of combinations, in a set of only a few dozen records.

It passed clean first time and mailed on schedule. The client was delighted.

Jobs run from little 2,000-record postcards up to campaigns of 600,000 and beyond, and they treat them all exactly the same. Speed helps, but what really keeps clients coming back is trust. One new client arrived nervous and haggling over price, then relaxed the moment she saw the work.
